RFP: TBBA's Sales & Marketing Council Website



Request for Proposal Website Design and Development Please submit proposals to Amy Amico at [Amy@tbba.net] by January 29, 2016. Questions regarding RFP may be submitted in writing prior to January 22,  2015.

I. Overview
The Tampa Bay Builders Association's Sales and Marketing Council has nearly 300 members and is comprised of sales & marketing professionals doing business related to the building industry in the Tampa Bay Area. Like-minded professionals come together through networking membership meetings, charity projects, educational seminars, special events, and cooperative marketing & advertising promotions.


II. Project Goals

Our goal is to create a website to increase: awareness of the council within the Tampa Bay
Builders Association; increase membership and member involvement; promote
sponsorship opportunities and overall community involvement.  This website will enable the SMC to improve our processes and communication, both internally and externally, while promoting interaction with members and non-members on the website as well as social media.

Completion of the website should be within 60 days from signed contract.

V. Website Functionality Requirements

●    Content Management System (CMS) - The website must be built on a content management system, preferably WordPress, that allows for all areas of the site (webpages, images, blogs, forms, calendars, etc.) to be easily updated.
●    Responsive Design - The website must be responsive, so that it seamlessly adjusts to fit desktops, laptops, tablets and smartphones.
●   Search Engine Optimization (SEO) - The CMS must include the ability to alter title tags,
                              meta-descriptions, alt tags, and headers. The site must be built to be easily crawled by search                     engines and include a site map that can be easily submitted to search engines.
●    Social Media Integration - The site should include the ability for web content to be shared to social media networks. The organization’s social media networks must be linked to the website to allow for easy  “follows.”
●    Contact Forms The website must include contact form(s). When a visitor fills out the form, the message notification should be sent to appropriate email addresses. Any form(s) should be accessible from the backend CMS user interface and easily export to a database.
●   News and/or Blog The website must include a robust, built-in news/blog platform. This
                             must enable users to create, edit and publish news articles and/or blogs to the website.

●   Hosting The website company must provide hosting with site backup and restore options.

Admin access to the CMS interface must be granted to the TBBA. A Hard copy of the completed website must be provided upon completion. A hard copy must also be provided when requested, for TBBA on-site asset management and backup.
●    Security The CMS system must provide 2 step authentication for users to login. Malware and virus protection for hosting and CMS, must be provided. In the event of an infection, malware and virus removal must be provided in a timely manner to avoid minimum downtime. Hosting must have two layer security protection, including SFTP.

●    Email Marketing The website company must provide email marketing capabilities that are seamless with the website and have the ability to integrate with current email marketing software. The website company must provide one email template that is consistent with website design.
●   Website Analytics - Analytics tracking must be integrated on the site to allow for

website visitor tracking, page tracking, etc.

●    Technical Requirements The website must be built using HTML, PHP and CSS. No use of Flash. The website must compliant with Mac and PC, as well as with the latest two versions of Internet Explorer, Mozilla Firefox, Chrome and Safari.

VI. Proposal Format

Vendors should include the following information in their proposals:


●   Company Contact Information (website, mailing address)

●   Individual Contact Information (name, email, phone number of company contact person)

●   Plan for accomplishing project goals, including your ability to provide required website


                    functionality and your vision for the design. Please adhere to the outline above.

●   Detailed Estimate and notes on any exclusions

●    Expectations for content information to be provided by TBBA SMC and format needed to receive such information.
●   Examples of past work that function similarly to this project.


●   References (3 or more, from similar companies/organizations)
